Volunteers keep a VEX Robotics Competition event running, and event day is easier when you can see at a glance who has arrived and what each person is doing. The Event Volunteer Roster is a printable volunteer check-in and assignment record, a single sign-in sheet for tracking who is volunteering, the role each person is filling, and when they arrive and leave. This article provides the roster document.

It is written for Event Partners and volunteer coordinators running a VEX Robotics Competition event.

Definitions of the terms used here are maintained in the central glossary.

For what each role does, who can fill it, and how many you need, see Volunteer Roles at a Local Event.

For where to look for volunteers and what to say when you ask, see Recruiting Volunteers for Events.

What the Roster Includes

The roster is a single sheet with space at the top for the event name, date, location, and the Event Partner or coordinator. Each numbered row records one volunteer: their name, assigned role, phone or email, arrival and departure times, and training or other notes. The sheet also lists the common volunteer roles for quick reference: Judge, Head Referee, Robot Inspector, Scorekeeper Referee, Queuer, Field Resetter, Emcee, Team Check-In and Pit Administration, and General Support. Space for Event Partner notes appears at the bottom.

The roster holds twelve volunteers per sheet; print additional copies for larger events.
