This article outlines the communications, production, and setup requirements Event Partners must meet at a Signature Event, including broadcasting, sound, branding, displays, and sponsor coordination. It is written for Event Partners hosting a Signature Event.
Definitions of the terms used here are maintained in the central glossary.
Communications and Production
VEX Via
The event must broadcast live match information through VEX Via.
Tournament Manager data must remain current so teams and spectators can access schedules, rankings, match results, and event information.
Livestreaming
Live streaming is strongly encouraged. Livestreams should provide clear views of the competition fields, readable score overlays, and understandable event audio.
Please be aware of music licensing agreements.
Venue Sound System
The venue must have a clear and reliable sound system. Announcements, match information, emergency instructions, and ceremony audio must be understandable throughout competition, pit, and spectator areas.
Larger venues may require separate sound zones or additional speakers.
Video Overlays
Video overlays are required for competition field broadcasts. Overlays should display relevant match information, scores, team numbers, match status, and other information provided through Tournament Manager.
Branding
The event must use approved Global Robotics and Science Foundation and VEX Robotics branding and marketing assets. Logos, banners, digital graphics, signs, livestream overlays, printed materials, and sponsor recognition must follow current branding requirements.
Event Partners may not alter official logos or create materials that could imply an unauthorized partnership or endorsement.
For logo files and usage rules, see Branding Guidelines. For questions or approvals, contact branding@globalrobotics.org.
Event Setup
The event must be fully set up before team check-in begins. Competition fields, pits, displays, inspection, judging areas, queueing areas, registration tables, signage, and technology systems should be tested and operational before teams arrive.
Tournament Manager Displays
Tournament Manager displays are required in appropriate areas of the venue. Displays should show match schedules, rankings, results, field information, and other relevant competition information.
Queue Displays
Queue displays are required. They should be positioned where teams can easily view upcoming matches and field assignments.
Pit Displays
Pit displays must be visible throughout the venue. The number and placement of displays should be appropriate for the size and layout of the event so teams do not need to leave the pit area to access critical information.
Sponsor Booths
Approved sponsors may request a booth or exhibit space at least 30 days before the event. Booth placement, size, power needs, activities, and branding must be coordinated with the Event Partner.
Sponsor activities must not interfere with competition operations, team movement, judging, or event safety.
