Running League Sessions in Tournament Manager

Tournament Manager handles league play differently than a typical single-day tournament. This article walks through setting up Tournament Manager for a league's First Session, running each Ranking Session that follows, and closing out the League Finals Session for VEX Robotics Competitions.

It is written for Event Partners running a league who are ready to set up Tournament Manager.

Definitions of the terms used here are maintained in the central glossary.

Before You Start

Connect your computer to the internet before creating the league's First Session. Tournament Manager downloads the team list, awards list, and league dates and venues from events.vex.com at that point, so this step can't be skipped.

Have a USB flash drive on hand as well, so you can save a backup copy of the tournament file at the end of each session.

Log In

On events.vex.com select Login in the top-right of the page.

Enter your login credentials and select Login.

Set Up the League

On the Admin page, select the Events tile, then select your Event from the list of events.

Record the Event Code and the Tournament Manager Code shown on the event's details page. You'll need both to set up Tournament Manager.

Open Tournament Manager and select Create a New Tournament.

Navigate to a folder on your computer, enter a name for the file, and select Save.

Important: The same Tournament Manager file must be used for every session in the league, including Finals. Make sure you know this file's name and location before moving on.

Read the welcome page, then select Next.

Select Next.

Select Next.

Most leagues use Small Tournament. Select Medium or Large if it fits your league better, then select Next.

The Event Name is pre-filled from events.vex.com; change it if you'd like. Enter a unique password (used for Tournament Manager's web server functions and for connecting additional computers to this Tournament Manager instance).

Select Next.

Confirm the current game is selected, then select Next.

Select the teams that have checked in. If check-in is still in progress, leave every box selected; if some teams aren't present once check-in ends, you can unselect them later and regenerate the match schedule. Select Next.

The defaults work for most leagues. If skills matches will run at any Ranking Session or the Finals Session, add at least one Skills Challenge field. Check the League Play Guide for setting recommendations, and adjust as needed.

Set up what fields your event space will have. Add as many fields as you have, then select Next.

Create the Pit Displays you'll be using during the Event, then select Next.

Adjust the schedule for the number of teams attending and the time available for this session. The League Play Guide has recommendations for how many matches to schedule per Ranking Session.

Confirm the awards that will be offered at the event. This will be autofilled using the Event Code and Tournament Manager Code from events.vex.com. Then select Next.

All of the event setup is now complete. Select Finish.

If Teams Haven't Checked In

If any teams aren't present once check-in ends:

Unselect Absent Teams

Select the Team List tab, select a team that isn't present, unselect its Checked In box on the right, and select Save. Repeat for each absent team.

Start Regenerating the Match Schedule

Select Tools, then Regenerate Match Schedule. Read the welcome screen and select Next.

Exclude Teams That Haven't Checked In

Under Checked In Teams, select Exclude any teams that have not checked in. Adjust the match schedule if needed and select Next.

Create the New Schedule

Save a Backup Copy

Once the session's matches are complete, save a copy of the Tournament Manager file to a USB flash drive: select File, then Save Copy of Tournament, navigate to the USB drive, and select Save.

Important: You must use this session's Tournament Manager file to start the next session. If the next session runs on the same computer, use the copy already on that computer's hard drive; if it runs on a different computer, use the copy you just saved to the USB drive.

Important: Don't create a new tournament file for each session – doing so breaks the carryover of match results and rankings between sessions.

Save Logs or Export Data

Upload Results

Select File, then Upload Results to events.vex.com. Leave Finalize unselected – that only happens after Finals – and select Upload Now to send this session's results to events.vex.com.

Check the event on events.vex.com (internet required) to confirm the upload went through correctly. Contact the Program Support Team if anything looks wrong or you have questions.

Subsequent Sessions (Not Finals)

Open the Previous Session's File

Same computer as the previous session: open Tournament Manager and select Open an existing tournament.

If using a different computer: copy the Tournament Manager file from the USB drive to a known location on the new computer's hard drive, then open Tournament Manager and select Open an existing tournament.

Locate and select the previous session's Tournament Manager file, then select Open.

Important: You must use the Tournament Manager file from the previous session. Any other file breaks the carryover of match results and rankings.

Select the correct league session from the list and select Continue.

Step through the wizard, adjusting settings as needed for this session. The settings from the previous session appear as the default, and the First Session steps above cover each screen.

Complete Setup

If Preserve skills challenge scores appears, make sure it's selected so skills scores from previous sessions carry over. Select Finish to complete the wizard.

Repeat the steps above from Unselect Absent Teams through Verify the Upload in the First Session section.

Finals Session

Select the final league session from the list and select Continue.

Select the Rankings tab and confirm the qualification rankings are correct before creating VEX IQ Finals Matches or starting VEX V5 Alliance Selection.

Select Tools, Options, Finals to confirm the number of teams and alliances in the finals, and adjust if needed.

For VEX V5

When a team accepts to be part of their alliance, select that team and select Add Team.

Run Elimination Matches

For VEX IQ and VEX U

Move Absent Teams to Excluded

Move any absent teams from the Included Teams list to the Excluded Teams list – the number of teams in the finals matches comes from the Finals Matches Setup screen in the wizard, not from the Included Teams list.

Finish the Finals Session

Once judges finish selecting judged award winners, select the Awards tab and enter each winner. Optionally, select Auto Fill Winners to enter skills winners, print selected Award Ceremony Scripts, and present those awards between elimination/finals matches.
