The Regional Support Request Form lets coaches, Event Partners, school and district administrators, and other program participants request help from the Global Robotics and Science Foundation Programs Team for team changes, event changes, event variances, event anomalies, and other regional program needs. This article explains when to use the form, what information to provide, and what happens after a request is submitted.

Before Submitting

Review the Global Robotics Library first. Many questions about team registration, events, competition policies, and qualification are already answered in published articles. If you still need help after checking the library, submit the form with all relevant details.

For questions about a specific event, review the event listing on VEX Events and contact the Event Partner when appropriate.

When to Use the Form

The form may be used for:

  • Team or coach support
  • Event planning, approval, or Event Partner support
  • Regional program questions
  • School or district support
  • Training and professional development
  • Competition and season support
  • Other regional program needs

Request Types

Select the request type that most closely matches the assistance you need. Choosing the correct type helps route your request to the appropriate Programs Team member.

Team Change Request

Use this option when information connected to an existing team needs to be updated. Examples include:

  • Adding, removing, or changing a Primary or Secondary Coach
  • Updating a coach's name or email address
  • Changing team or organization information
  • Requesting assistance with a team account
  • Correcting team registration information

The request must be submitted by the current coach or an authorized school, district, or organization administrator. Include the complete team number and the names and email addresses of everyone affected by the change. If the primary coach cannot be reached and no school or district administrator is available to submit on the team's behalf, the Programs Team may use its discretion to process the change.

All contacts must have a completed and valid background check in order to register teams. See Background Check Submissions for how to submit one.

Event Change Request

Use this option to request an update to an event that has already been submitted or published on VEX Events. Examples include:

  • Changing an event date, location, or venue
  • Updating event capacity, registration dates, or pricing
  • Changing the grade level or event format
  • Updating Event Partner or event contact information
  • Adding or changing awards, judging information, or other event details

Include the event name and event code, along with the exact information that should be changed.

Event Variance Request

Use this option when requesting an exception to a published event requirement or standard. Clearly identify:

  • The requirement involved
  • The exception being requested
  • Why the variance is needed
  • How teams and the event experience may be affected
  • Any steps that will be taken to maintain safety, fairness, and competitive integrity

Submitting a variance request does not guarantee approval. Do not make plans that depend on the variance until written approval has been received.

Event Anomaly

Use this option to report an unusual occurrence during an event that may have affected safety, fairness, competitive integrity, rules compliance, or the overall team experience. Examples include:

  • A field, scoring, or technology issue that materially affected a match
  • A deviation from published game, event, or program requirements
  • A judging or award concern that could not be resolved at the event
  • Unsafe, inappropriate, or unsportsmanlike conduct
  • Another significant circumstance that may require follow-up

Include the event name and event code, event date, team and match numbers when applicable, a factual description of what occurred, any steps taken at the event, and supporting photos, videos, or documents. Event anomaly reports are reviewed for follow-up and do not automatically change match results, rankings, or awards.

General Support Request

Use this option for regional assistance that does not involve a specific team or event change. Examples include:

  • Regional program questions
  • School or district support
  • Training and professional development
  • Season or competition questions
  • Guidance for starting or expanding a robotics program
  • Event-planning questions before an event is submitted

For immediate safety concerns or issues affecting an event currently in progress, contact your Programs Team directly rather than relying only on the form.

Submitting a Request

  1. Open the Regional Support Request Form.
  2. Select the appropriate request type, region, and state or territory.
  3. Enter your contact and program information.
  4. Describe the request, including relevant team numbers, event names, locations, and dates.
  5. Submit the form.

Submit unrelated issues separately so each request can be routed and tracked properly.

What Happens Next

Your Programs Team will review your request and contact you if additional information is needed. Requests are tracked through review and resolution, helping the Programs Team respond effectively and identify recurring support needs.
