Posting a league on events.vex.com takes a few extra steps beyond a single event, since every Ranking Session and the Finals Session need their own listed date, agenda, and capacity plan.

It is written for Event Partners, Organization Administrators, and the Program Support Team.

Confirm Your Dates and Venues

Before you start, confirm the date and venue for every Ranking Session and the Finals Session. Having every session locked in ahead of time keeps the dates you enter in the next steps accurate and final.

Create the League Event

Event creation form on events.vex.com with the Start Date and End Date fields both set to the same date, above the Timezone and Name of Venue fields.

Create the league event on events.vex.com, using the date of the first Ranking Session as both the Start Date and End Date.

Add Each Session as Its Own Date

Event Dates and Venue panel on events.vex.com with the New Date button and a list of individually added session dates.

Select + New Date once for each Ranking Session and once for the Finals Session.

Each session needs its own listed date. Do not enter a single date range spanning the first and last sessions. Leave at least one week between Ranking Sessions, and add every session before submitting the league for approval.

Add the Session Agendas

Inside the Agenda content block, add the agenda for each Ranking Session and the Finals Session.

Set the Registration Opens Date

Event dates section on events.vex.com with the Release Date, Registration Opens, and Registration Closes fields.

Set the Registration Opens date as early as possible, ideally more than 8 weeks before the first Ranking Session.

Set Event Capacity

Event Capacity section on events.vex.com with the Grade Level, Event Capacity, and Max Registrations per Organization fields.

Set Event Capacity higher than the smallest venue can hold.

Ask teams to sit out one session so more teams can participate. Teams sitting out a session can be encouraged to volunteer instead, in a role other than judging or refereeing.
